The most important day of your life is rapidly approaching. You have the best hall reserved, the perfect photographer, a wonderful wedding dress and sharp looking tuxedos picked out. What are you forgetting? Oh…that’s right, you need ENTERTAINMENT for the reception! NOT just a DJ.

With all the planning that goes into a wedding, it seems almost certain to overlook certain things, but GREAT entertainment should be one of the first things to secure when planning a reception. But how do you find outstanding entertainment for your special day? What should you ask? How much should you expect to spend? If you ask these questions, and follow these recommendations, you should have no problem finding a great DJ for your event.

The best way to have a HORRIBLE reception is to call every DJ/MC in the phone book, ask just their price, and hire the DJ with the lowest price. This happens more than it should, and a newlywed’s special day is ruined because they spent more on their cake than their entertainment.! It has been said that your entertainment is responsible for up-to 80% of the success of your entire wedding day.

A bride once stated: The ceremonies themselves are usually uneventful, so they have a tendency to blend together in the memory. What people REALLY remember is the reception, and a good reception guarantees people will look back on the occasion and say “THAT was a great wedding.”

There are a number of ways to find quality entertainment. The first, and probably the best way, is to hire someone you have seen at another reception where you were a guest. If the DJ did a great job, ask for their business card and hire them. The second is to ask friends or family members that have had great entertainment for their event. The third way is to call various Entertainment companies, or DJ companies, and find out which will do the best job for YOU! You want to find the right person, not the right price. Remember, there is a reason why QUALITY DJ’s charge more than AMATEUR DJ’s. Again, with these questions to ask, you should have no problems finding the best DJ for your reception.

· Are you available?

This seems like such an obvious question, however, some brides only know one question to ask: “How much?” Find out if the DJ/MC even has your date available. If they are not available, then a quality DJ/MC should recommend another DJ/MC to contact. If they don’t, then they may not be “real professionals”. A “true professional” will help you find another DJ/MC, even if they are already booked.

· What type of events do you specialize in?

Find out if wedding receptions are the focus of the DJ/MC who will be performing at YOUR event. Your DJ/MC should have performed at previous receptions and know the sequence of events. Some multi-system companies may be cheaper, but may not guarantee your DJ/MC in writing. You may plan everything with the owner, and then finally meet YOUR DJ on the day of your event (bait and switch). If this DJ works mainly in a club, or does mostly other events (bowling alleys, birthdays, etc.), then they may not be the best choice for you.

· How will you coordinate my event, and how will you make it FUN?

The better entertainment service will coordinate your reception from beginning to end, instead of “just playing music”. They will give you suggestions on how your reception can be perfect and unique, as well as incorporate your ideas. Experienced DJ’s/MC’s can even take the place of a wedding coordinator, since they are experienced in planning receptions as an ENTERTAINMENT function. Your DJ should have the desired energy level to make your party everything you’ve already imagined it to be.

· Will you meet with us to plan our reception?

ALWAYS meet with your prospective DJ/MC before signing any agreement! This is VERY IMPORTANT! A DJ who does not offer to meet with you does not care about the success of your event, they are probably more concerned with getting your money! Make sure the DJ you meet is the one who will be performing at your event. Some companies don’t know who will be doing what events until the day they occur. Your wedding day is NOT the day to meet your DJ for the first time!

If you choose a entertaiment company with multiple DJ’s, have them put the name of your DJ/MC on the signed agreement. Not all DJ’s are the same, so you should find a DJ you can trust, and one with which you have a good personality match. If a company doesn’t guarantee your DJ in writing, is your wedding reception a priority to them or are you just a dollar figure?

· What do you wear during my reception?

A professional DJ/MC will dress appropriately for your reception, and that means wearing a TUXEDO. A DJ/MC who does not wear appropriate attire does not care about making a good impression about their appearance. Remember, the DJ is representing YOU at the reception!

· Can I call any references?

A professional DJ will supply you with recent references to contact. This will usually be the best way of giving you the confidence that this DJ will do an outstanding job. Also, if a venue or other wedding professional recommends a specific DJ, find out what they did that made them stand apart.

· Finally, how much do you charge for my event?

Some DJ’s have a flat rate for their service, while others have packages with lighting, extra microphones, and other extras. The most important item a DJ will offer is SERVICE. A full light show and 18” bass speakers are great, however, they WON’T make your party a success by themselves! You need a GREAT DJ behind the equipment to make your party a success!

To have an OUTSTANDING reception, plan on budgeting at least $600 – $1,500 for a PROFESSIONAL DJ. A DJ with a low price probably has a low price because they do not provide as much SERVICE as one with a higher price. If you deal with the lowest bidder, it is well to add something for the risk you run, and if you do that you will have enough to pay for something better.

MORE TIPS ON FINDING A QUALITY DJ

· Do not ask a DJ to “see them at another reception”. Wedding receptions are private events, and should be kept that way. Would you like someone you don’t know coming to your reception? At another event, your DJ may do something you dislike. However, it may be exactly what that bride & groom requested for their reception. Peeking in on another party does not give you the full spectrum of what your DJ offers. Besides, the only way to truly see how the DJ will handle all aspects of the entire event would be to stay for the duration.

· Listen to what your DJ says during your meeting. An experienced DJ will listen to your desires, offer suggestions, and help you plan your entire reception they way you’ve already envisioned it. They will know what sequence of events occur and how to work with your other vendors insuring a GREAT party. Your wedding day should be the way YOU desire it, and your DJ will facilitate your reception as you desire.

· A professional DJ will use LEGAL music. Downloading music from the popular Peer-to-Peer networks (KaZaa, WinMX, etc) is ILLEGAL, and DJ’s have been sued by record companies in the past for doing this! Also, some larger companies, with several DJ’s and units, have been known to use one main source of music, and make ILLEGAL copies for their other units. This is one way they keep their price low, by not operating legally. Ask your prospective DJ where they get their music.

· A professional DJ will not “bad mouth” another DJ service by specific name. Doing so shows that they lack integrity and professionalism. Speaking “down” about a specific company also shows the DJ service lacks character and class, and you may want to consider using another service.

· A professional DJ will recommend other quality DJs if they are already booked. If you like what you see on a web-site or in-person, but wait too late to book, a professional DJ will recommend others. DJs network just like other professionals in their respective fields and usually will recommend others when already booked.

OUR PRICING

Chances are this is your first time hiring a Disc Jockey Service. Many people are tempted to ask (What is your price?) for their first question when interviewing a prospective disc jockey service. This is not the best way to start your interview. Price is important but not the determining factor. You want to get all of the information and the most for your money. One potential DJ may charge less because the company is less experienced or is not as well equipped to handle your function. Some DJ services charge more because their service has a great reputation and may have many bookings. They may also have an exceptional sound and light show and many years of experience. Remember the law of supply and demand. There is a reason some services can get a higher price, they are usually worth it. Some other DJ companies don’t let you meet the DJ before your event. Most of your higher end priced DJ companies allow you to meet with your actual DJ/MC to go over the details together to earn trust and mesh personalities.

Rates very based on talent, experience, emcee’s ability, service coordination, equipment needed, music knowledge, mixing ability and personality.

Rates for the DJ industry here in Northeast Ohio very greatly, ranging from 450.00 to 2,500, with an industry average of 1,100.00 for a 6 hour reception. The best price is not always the best deal, especially if you are planning a wedding reception. As a matter of fact, surveys conclude that nearly 92% of brides would have spent more money on their entertainment and made it their #1 priority in hindsight.

A full service disk jockey company will normally invest 5 to 10 hours in the preparation of your wedding reception, even though it may appear you are only paying for 5 hours. Consultations, music preparation, editing, wedding planning, wedding planners, vendor phone calls and faxes, set-up, tear down, education, and other business related endeavors add up to the overall success of your special occasion.

Our prices are Extremely competitive in the industry and are mostly even below the industry average. Every package is customized and tailored to what your needs and that is the main reason prices cannot be just “quoted” over the internet. Q: Will I get to meet the actual DJ/MC doing my reception?

A: Absolutely! You will get to plan out the entire evening including music with the actual DJ/MC that will be at YOUR reception

Q: How many wedding receptions have you done as a company?

A: Having been in business since 1987, we have performed at over 5,000 events, 4,600 of them being wedding receptions. (as of 1998 95% of our business is weddings)

Q: Do you have any references?

A: Absolutely. After every wedding reception, we send out feedback forms and they reply. All of these are in many folders at our offices and are updated on a regular basis. These are available upon request and can be viewed in our studio during a consultation meeting.

Q: May we come and see you perform?

This is a very common question asked and the answer for the most part is no. Why do we say that, not because we are hiding something, rather that most of the venues we play at (country clubs, private halls, most hotels, ect) will not allow us to invite un-invited guests to a wedding reception. If you are having a reception at a reception venue that we play at regularly, they they may allow you to come to the reception at the early part of the evening. (Usually before or during cocktail hour) What we have done is taken some raw (not doctored to show you what you want to see) video footage up of some weddings to show you in our consultation meeting to make everyone feel more comfortable with their choice.

Q:How many weddings do you do a year? Are you a full time company?

We do approximately 100-140 wedding reception per year and 95% of all of our business is weddings only! We are a full time company and are very accessible and usually return phone calls and emails within hours, during business hours and evening.

Q:What do you do the rest of the week?

A: Plan wedding receptions, meet with clients, and coordinate with venues and other vendors for upcoming receptions. Customize music libraries. Prepare for upcoming receptions. Get all special requests for that weekend. Marketing, Sales ect..

Q:What kind of experience, background, and education do you have?

A: Selective Sound Ent. Has done over 4600 weddings as of 1987. We played at wedding receptions for as little as 28 guests to as many as 1300 guests. We continually go to DJ conferences throughout the United States at least twice, to as many as 5 times per year. We educate ourselves with the newest trends and music at various seminars. We have been formally trained through FAME (Florida Academy of Mobile Entertainers)

Q:Have you received any formal classroom training as a disc jockey?

A: Through fame (Florida Academy of Mobile Entertainers) completed their 101 and 201 training courses) and additionally other DJ seminars and conferences

Q: What is your policy on Food or Alcohol?

A: Remember your DJ is a hired service not a guest. Alcohol is for your guests. If the DJ tells you he or she needs a couple of drinks to loosen up it is our opinion that they are not very professional. The last thing you need is a drunk DJ up in front of your family and friends at your wedding reception. Food is normally provided for the DJ, Photographer, and Videographer. If your not going to feed the DJ or other services you should let them know ahead of time so they can make other arrangements.

Q:Do you also Emcee the reception?

A: Absolutely! Very formal announcements and only when needed. We are not game show hosts nor are we comedians and will not be telling jokes at your reception. Very formal announcements only!

Q:How many consultations do you provide in your package prices?

A: After meeting directly and booking with us (1) in person consultations and unlimited phone/internet consultations. (We understand people are busy and make it as easy as possible with their busy schedules)

Q:Do you provide an reception coordinator:

A: Included with every package. We do a lot of the same work that a wedding coordinator would do and its all part of our packages. We ensure your reception will run smooth and is stress free.

Q: Do you send out a wedding planner before the reception and if you do how far in advance?

A: We have an online wedding planner with unlimited resources and access. You will get a password and login code 7 to 8 weeks before your wedding reception. You will then be prompted to plan your reception to the best of your knowledge through our site 24 hours a day.

Q:Do you carry liability insurance?

A: Absolutely (on file in our office) $3,000,000 (Its required by most venues)

Q:What time do you arrive to setup your equipment?

A: 1-11/2 hours before the reception (music playing early at no charge) this is included in every package

Q:What do you wear to the reception?

We wear full tuxedos unless it is a themed event and then we discuss at the consultation meeting

Q:How many songs do you have in your library?

A: Remember its not the number of cd’s or songs we carry but the content of the media. We carry every hit song form 1940 to date. We stay current with every popular music category including Rap, Hip hop, Adult contemporary, Top 40, Country, Alternative, Christian, Dance ect.. We subscribe to a service that LEGALLY sends us full digital and edited versions of these titles. Our libraries consist of over 50,000 song titles.

Q: Will you take requests from our guests if we want?

A: Consider the policy of requests. The best DJs will take requests form the audience and work them into their routine. But don’t expect the DJ to play every request. An excellent DJ blends requests with songs that will get your guests up and moving. The art of a DJ is timing, and this takes experience. Forcing a DJ to ignore his or her instincts by making them play every request will result in an uneven (and less fun) party.

Q:What format is your music in? (i.e. records, cassettes, CD)

A: fully and legally digital music (all on computers) also carry cd libraries as a backup

Q:Do you provide cocktail/ dinner music?

A: Yes we do. We discuss formats like Jazz, lite rock,instrumentals, ect at meeting)

Q:Do you provide a wireless microphone for speeches?

A: Yes we do.

Q: Do you provide back up gear in case of an emergency?

A: Backup speakers, microphones,, amplifiers, cd’s, computers ect..

Q:Are basic effects lighting included?

A: in most packages yes. (very tasteful , fun lighting packages)

Q:Do you offer lighting and sound upgrades?

A: to be discussed with representative (if required)

Q: Do you take breaks?

A: Not one,, we play from the beginning start time till the contracted end time.

Q: How many people will cover the event?

A: in most cases there are 2, A DJ/MC and and assistant (adds versatility)

Q:Is a deposit required? If so, how much?

A: most deposits are 250.00 to 400.00. They are required to hold the date.

Q:When is the deposit due?

A: As quickly as possible. That is what ensures your date to be held.

Q:When is the final payment due?

A: Final payment is due 2 to 3 weeks before event, but only after you have met with your DJ/MC to go over the details and finalized all important information.

Q: What percentage are the taxes? All state and local taxes

A: ALL State and local taxes are included in every package.

Q::What is the overtime charge:

A: 100.00 per hour (pre-paid) or 75.00 per ½ hour (paid before overtime starts that evening.

Q::Are there any additional charges not mentioned? (i.e. travel) :

A: There are NO HIDDEN CHARGES. Travel fees only incur if over 50 miles or 1 hour of travel time is required.

Q: Do you provide a written contract and guarantee?

A: Yes we do. Lists all details and legally binds both parties to the engagement date.

Q: What are the refunds/cancellation terms?

A:: Deposit is non-refundable, and holds the said date for engagement. Cancellation of the event can be done, but must be done by hand written letter 120 days prior to engagement, or you are eligible for the full amount of the contract.

The 3 Primary Roles of Your DJ

Your MC/DJ is an integral part of your event. An experienced, professional DJ will play several roles before and during the event to ensure that it will be a fun and memorable celebration.

Sound Technician

First, your MC/DJ is responsible for delivering a Digital concert series sound system to the site of your event. He or she will assemble the sound system, conduct a sound check of the area and make sure everything is working and sounding great before your first guest arrives. This represents a lot of time, energy and work on the part of your DJ that very few people will see during the course of your event. In fact, this process may take several hours depending on travel time and the physical layout of the venue. In this sense, you have hired your MC/DJ to be a delivery person and a sound technician.

Only through experience can one really understand the challenges and nuances of setting up electrical sound equipment in a safe manner that is out of the way of your guests, and making adjustments to provide the clearest possible sound. An experienced MC/DJ will be able to do this in rooms of various shapes and sizes, inside or outside, making necessary adjustments throughout the event as people come and go (people in the room coming and going can change the way sound will travel). Your MC/DJ will continually adjust the sound throughout the event so that your guests won’t be made uncomfortable by feedback, sound that is too high pitched or that may have too much bass, or is simply not well balanced. This is what many in the industry have traditionally called “sound mixing”, although the term now has several different interpretations. The proper sound level is crucial to the comfort of your guests. If its too loud they will leave your reception. We use very high end sound systems that are louder on the dancefloor and provide a more “short throw” sound that allows your guests in the sitting area to enjoy nice conversation without screaming.

Announcements and Coordination

Second, your MC/DJ is responsible for making all necessary announcements throughout the event so that your guests and other vendors know what is going to happen. Photographers, for example, don’t appreciate when a MC/DJ goes ahead with an unannounced portion of the event that might cause them to miss meaningful photos. Your DJ acts as the emcee of your party making sure that everything you want to happen, happens in an orderly way. Often your DJ will be playing and mixing pre-selected music while at the same time making announcements or facilitating festivities. This means that your MC/DJ needs to be comfortable multi-tasking while coming off smooth, calm and collected. A DJ who effectively fulfills the role of coordinator and announcer will create a flow to the celebration and avoid a choppy, haphazard feel to the event. This will ensure that your guests will not be bored and adding in a great variety of fun music, surely will keep your guests dancing all night long.

A professional MC/DJ will be prepared. Preparation is the key to making announcements at the appropriate time and ensuring that all that you want to happen, happens in smooth order. Preparation time is time well spent. Your DJ should communicate with you before your event to get from you the information necessary to act as emcee. There are various ways to go about planning. Some DJ services have online planning tools, many have planning documents that are completed by the client and returned to the DJ. Often a DJ will meet personally with their client to go over the details of the event. Your DJ will also be communicating with other vendors during the event to be sure everyone is on the same page for each planned festivity.

Music Selection and Engaging the Crowd

The third role is what most people think of when they imagine their MC/DJ at work. He or she will be selecting music that reflects your musical tastes and will produce a fun and active celebration. Your MC/DJ also needs to gauge the extent to which your guests need to be engaged and encouraged to get up and dance! Your MC/DJ should be first and foremost concerned with the type of music you and your guests want to hear and dance to. Too many DJ’s show up with their own prescribed notion of what will be a fun time without consulting their clients. A professional MC/DJ knows how to engage guests and encourage an active dance floor but without being obnoxious or too overwhelming. A pro will always remember that the celebration is not about the DJ but about you, your family and guests and will be more than willing to respect your choice of music.

Your MC/DJ will, with your guidance, create the musical atmosphere you wish to have at your event. An experienced MC/DJ knows that music has a powerful affect on the psychology of the group and therefore can influence the flow of the celebration. He or she needs to be able to “read the crowd” as quickly as possible and gain insight into what motivates guests to have fun. Your DJ will constantly monitor the energy level in the room and speed things up or slow things down when necessary. A pro will be sensitive to the diversity represented in the crowd (age differences, ethnic differences, etc.) and be sure to play music during the event that will be enjoyed by everyone. Be sure to ask your MC/DJ how he or she prepares for the music selection of the event. Ask about the process that allows you to give input, song selections and how your DJ will incorporate requests from your guests. Be sure to mention, too, which types of music or specific song selections are NOT to be played.

A professionally operated MC/DJ service will enable (and encourage) you to get to know your DJ and how he or she operates before the event. Don’t hesitate to communicate with your DJ by phone, website planning tools, email or a personal meeting. Your MC/DJ will be glad to answer all of your questions because this type of communication leads to the effective fulfillment of the three roles discussed in this article. Remember, your MC/DJ is your partner in planning and wants, more than anything, to give you a celebration that you will fondly remember forever.
